Welcome to Whistler Community Services Society (WCSS) online privacy policy.  This policy outlines the privacy practices for our registered charity. This privacy policy applies to information collected regarding donors, customers, clients, and subscribers on this website (www.mywcss.org)

This Policy will inform you of the following information:

  • How WCSS collects, uses, and shares your information which gathered through this website
  • Your ability to access and control the information WCSS have about you, and how you may opt out of future communications.
  • Our security measures to safeguard your information.

Information Collection, Use, and Sharing

Information that we may collect from you through our online data collection forms include, but not limited to:

  • Your name
  • Your address
  • Your email address
  • Phone number

Please note these above items (except email) are required by Canada Revenue Agency for donation tax receipt proposes.

WCSS is partnered with Keela (Legally known as Network For Change), a 3rd party fundraising, data collection and management service. All information is stored on Keela servers in Canada.  We only have access to information that you voluntarily give us via the Keela forms embedded on our website, or that you provided via email or other direct contact from you. We (or Keela) will not sell or rent this information you have provided to any other party for any purpose. We will use your information to respond to you regarding the reason you contacted us, to inform you of updates on our organization, and to provide you with opportunities to support and engage with us. We will not share your information with any third party outside of our organization, other than as necessary to fulfill your request, e.g. to ship an item.  Unless you ask us not to, we may contact you via email for the reasons listed above.

Our Food Bank and Outreach Services programs are partnered Link2Feed software for intake, JaneApp software for booking appointments, and Google Sheets for planning service delivery. Providing information electronically can be safer than providing information on paper. A limited number of WCSS staff have access to these systems.  Each member of the WCSS team who has access to your personal information has been trained on, and has signed, a confidentiality agreement to keep your information private. Food Security Programs can be accessed anonymously, and it is not mandatory to provide any personal information to access our food bank. WCSS Staff will only collect client information if the clients provide verbal and/or written consent. Our consent disclaimers are posted visibly at each intake desk and our staff has a responsibility to explain this disclaimer to each client.

Our online store, Re-Love-It, uses Shopify as the 3rd party online shopping experience platform.  All shopping transactions which take place on that platform are managed and controlled by Shopify and thus are governed by Shopify privacy policies.  Access to information in the WCSS Shopify account is limited to the Re-Use-It centre’s management team.

We may use your personal information for a variety of reasons:

  • To Improve Our Programs: We may use your information to improve our programs or activities. For example, staff may look at information to review the quality of services that people receive.
  • To Do Research: We may use your information for research and analysis. Any reports produced with the data will notidentify your individual information. Our staff and volunteers will only share your information with qualified persons outside of our agency.
  • To Connect You with Other Programs: At your request, we may share your personal information to see if you are eligible for other benefits or.
  • To Report Abuse, Harm or Neglect: We are required by law to report any cases of suspected abuse or neglect of children or vulnerable adults. We are also required to share information about you to law enforcement in certain cases, for example, if you cause harm to a member of our staff, another client, or if you damage our property. We may also share your personal information in case of a threat to the public, such as a terrorist attack or natural disaster.

Your Access to and Control Over Information

You may opt out of any future contacts from us at any time. This can easily be done using the unsubscribe link from any of our email newsletters you receive. You can also control the information we have on file for you by emailing us at info@mywcss or calling us at 604 932 0113.  We can assist you with:

  • Share what data we have about you, if any.
  • Change/correct any information we have on file for you.
  • Instruct us to delete any on file information about you.
  • Share any concerns you have about information we have.
  • File a complaint for inappropriate communications from WCSS.

SECURITY

WCSS takes the handling and management of data and its security seriously. When you submit sensitive information via the website, and thus via our partners at Keela, JaneApp, and Link2Feed your information is protected both online and offline. Wherever sensitive information (such as credit card data) is collected by our third-party partners, that information is encrypted and stored in a secure way. We also protect the use of your information internally. Only employees who need the information to perform a specific job (for example, donor or client relations) are granted access to personally identifiable information. The computers/servers in which we store personally identifiable information are kept in a secure environment and are solely owned and managed by WCSS.
